Special Programs Support
Job Goal
To provide workshop, clerical, and organizational support to Special Programs Department staff.
Education
High School Diploma Associates degree or post-secondary education hours preferred
Certifications
None required
Special Knowledge and Skills
• High degree of professionalism including strong organizational, communication, and public relations skills
• Strong computer skills and proficiency with various software applications.
• Ability to work well with others as a team member.
• Ability to establish rapport and work in collaboration with public school, ESC, and state level personnel
• Ability to maintain confidentiality with internal and external student and LEA information
• Ability to collaborate and work effectively with diverse personalities
• Detail-oriented and able to submit required documentation error-free and on time
• Ability to work on multiple tasks effectively with minimal supervision
• Ability to utilize current technology platforms and software
• Motivated to learn and stay current with technology tools and software applications.
Experience
• Minimum 3 years serving in a secretarial, support, or administrative assistant capacity
• Experience utilizing various technology tools and applications
• Background in customer service
Major Responsibilities and Duties
General and Local
• Provide excellent customer service.
• Assist with department training events and all around support needs in the department.
• Work collaboratively with other support staff in the department to facilitate and support all programs in the department.
• Assist with event development, participant registration, and event set up and take down.
• Respond to any client needs in a courteous and timely manner with current, accurate information.
• Work on multiple tasks effectively with minimal supervision.
• Utilize distance learning technologies for meetings and trainings.
• Follow all federal, state, and ESC guidelines, policies, and procedures.
• Develop and maintain positive, professional relationships within the ESC, with LEAs, TEA contacts, and any partner organizations.
• Manage calendars to ensure all required meetings and trainings are attended.
• Maintain all internal and external required paperwork and program documentation.
• Submit internal and external required paperwork and program documentation by requested deadlines.
• Maintain confidentiality with internal and external student and LEA information.
• Perform other duties as assigned.
Duties under Grant Initiatives
• Assist specialists with organization, implementation and follow-up training events.
• Assist with event and other program documentation for compliance purposes
• Assist specialists with session preparation, verification, evaluations, and follow-ups
• Collect and report program training session information as needed

Equipment Used
Standard Office Equipment, including personal computer and peripherals
Working Conditions
• Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
• Motion: Repetitive hand motions, including frequent keyboarding and use of a mouse; occasional reaching
• Lifting: Occasional light lifting and carrying (less than 15 pounds)
• Environment: May work prolonged or irregular hours
• Mental Demands: Work with frequent interruptions; maintain emotional control under stress
